In short
- For customers, we are the controller. For funnel viewers, the business running the funnel is the controller and we are its processor.
- We do not sell data or train AI on your content. Our website uses analytics and ad cookies only as described below; the app and funnels never do.
- Viewer IP addresses are not stored; location is approximate (city level).
- Each workspace chooses how long leads are kept (30 days to forever), with built-in find, export and erase tools.
- Email support@videosayshi.com for any privacy request; we reply within 30 days.
This summary is for convenience. The full text below is what applies.
1. Who we are and our two roles
VideoSaysHi is operated by [Company legal name], [registered address, country] (“we”, “us”). This policy explains how we handle personal data on videosayshi.com, app.videosayshi.com and the interactive video funnels we host.
We handle data in two different roles:
- For our customers (people who sign up and use VideoSaysHi to build funnels) we are the controller: we decide how their account data is used. The rest of this policy covers this role.
- For viewers (people who watch and answer a customer’s funnel) the business running the funnel is the controller, and we are its processor: we handle the data only on its behalf and following its instructions. Section 3 explains what is collected and who to contact.
2. Data we collect about customers
- Account details: your name, email address and password. Passwords are stored securely by our sign-in provider and are never visible to us. When you choose a password, we check whether it appears in known data breaches, sending only a partial hash (never the password).
- Workspace information: workspace name, logo, brand colours, support email, team members and their roles, invitations and settings.
- Billing information: your plan, subscription status, renewal date and payment reference numbers, plus payment events our payment partner sends us (such as payment succeeded, failed or refunded). Full card numbers are handled by our payment partner; we only see the card brand and last 4 digits, to show on receipts and help with billing questions.
- Your content: videos, images, files, funnel designs, forms, templates and integration settings you create. Integration secrets are stored in a protected area that is not readable from browsers.
- Support: messages and attachments you send us, and our replies.
- Usage and technical data: activity in the app needed to run features and limits (for example plays, responses and AI usage counts), and error reports from your browser (see error monitoring below).
- Emails we send you: a record that account, billing, alert and report emails were sent, so we never send duplicates.
- Partner referrals: if you arrive through a partner’s link, a first-party cookie remembers that partner for 30 days so they can be credited if you subscribe. When you start a checkout through such a link, we record the partner, the website you came from, whether you came from a paid ad, and a one-way coded value made from your network address and browser (we never store the address itself). We use this only to pay partners correctly and to prevent referral fraud.
- Where you chose a plan: when you choose a plan on our website, we record the name of the page you chose it on (for example, a blog article or the home page) with your account. We record the page name only, not a full web address, and use it only to see which of our pages help people get started. No cookie is used for this.
We do not buy customer data from third parties, and we do not use advertising cookies or trackers in the app. Cookies on our website are explained in Cookies, analytics and ads on our website.
3. Data collected from funnel viewers
When you watch or answer a funnel, the business that created it decides what to ask. VideoSaysHi stores the following for that business:
- What you enter: answers to questions, contact details (such as name, email, phone or address), consent choices, files you upload, quiz answers and scores, and booking details (name, email, phone, time zone, chosen time and answers).
- Your visit: which steps and videos you saw, what you clicked, playback progress, the page you came from, the funnel link including any campaign (UTM) tags, your device type, browser and operating system, and your approximate location (city, region and country) based on your IP address.
- IP address: used only for a short time in memory to prevent abuse (rate limiting). We do not store viewers’ IP addresses in our database.
- Payments: if a funnel takes a payment, you enter your card details in a third-party payment processor’s secure form; they never reach us. We keep the amount, currency, what it was for and whether it was paid or refunded, linked to your visit, so the business can see it. The payment processor handles your payment under its own privacy policy.
Browser storage on funnels: funnels do not set advertising cookies. They store in your browser:
- a random viewer ID, so repeat visits are counted correctly;
- a visit ID that resets after 30 minutes of inactivity;
- your connection speed, to choose video quality (never sent to us);
- your answers, only if you tick “Remember my details on this browser”; you can clear them at any time.
Third-party content in funnels: a business may add its own tracking pixel, booking calendar (such as Calendly or Cal.com) or send your answers to its own tools (such as a CRM, spreadsheet or email marketing tool). Funnels ask separately for permission to be contacted and for permission to receive marketing emails, and email marketing tools only receive people who gave the permission the business asked for. Those services receive data under their own policies, and the business is responsible for any consent they need.
Viewers: to access, correct or delete your data, contact the business that ran the funnel; its name and privacy notice should be shown in the funnel. We help businesses answer these requests with built-in find, export and erase tools. If you cannot reach the business, email support@videosayshi.com and we will pass your request on.
4. How we use customer data
- To provide the Service: create and secure your account, host and play your funnels, convert videos, deliver responses and integrations, and apply plan limits.
- To handle billing, subscriptions, refunds and tax records.
- To send service emails: account verification, password resets, billing receipts and reminders, lead alerts, daily digests and weekly reports you have switched on, booking emails, and important changes to the Service or these policies.
- To send customers occasional product tips and offers by email, as we tell you at checkout. You can switch them off at any time in Settings → Signed-in account or with the unsubscribe link in any of these emails, and service emails keep coming. Our email marketing provider receives only your email address and first name. People invited to a team are not added.
- To give support and investigate problems you report.
- To keep the Service safe: detect and prevent fraud, abuse, spam and security threats, and enforce our Terms.
- To improve reliability and performance, using error reports and aggregated usage (never the content of your leads for marketing or training).
- To comply with legal obligations and respond to lawful requests.
We do not sell personal data or use customer or viewer content to train AI models. With your permission, our website’s advertising cookies let Google and Meta measure our ads and show them to past visitors (see Cookies, analytics and ads on our website); the app and funnels never use them.
5. Legal bases (EU, UK and similar laws)
- Contract: to provide the Service you signed up for, including billing and support.
- Legitimate interests: to keep the Service secure, prevent abuse, fix errors and improve the product, and to tell customers about our own similar products and offers (with an easy way to say no at checkout and in every email), balanced against your rights.
- Legal obligation: to keep tax and accounting records and respond to lawful requests.
- Consent: where we ask for it, such as analytics and advertising cookies on our website for visitors in the EU, EEA, UK and Switzerland. You can withdraw it at any time.
6. AI features
AI lead briefs and AI reports are off until a workspace owner or admin switches them on. When used, we send our AI provider the answers and visit context needed for the summary, after removing names, email addresses, phone numbers, street addresses and links. The provider processes this only to return the summary to you, under its terms for business customers. Summaries are stored in your workspace.
AI pictures send the description you type to our AI providers, to check it against our picture rules and to make the pictures. Please do not include personal details in it. Pictures you do not pick are not stored; the one you pick is saved in your library like any upload.
AI Builder sends our AI provider the answers you type, or the text of the document you choose, to draft a funnel outline. The document is read on your device and the file itself is not uploaded. The outline and scripts are saved in your workspace, and drafts must be reviewed before you publish them.
When you build from the AI Builder chat, your answers and chosen style (not your first message or notes) are kept in your workspace, so the chat can offer them next time. You can clear them at any time with “Forget my details” in the chat, and they are deleted with the workspace. To suggest ideas, we count how many businesses in the same industry picked the same goal, form field, offer or question. An idea is shown to others only when at least five different workspaces picked exactly the same one, and we never show who picked it.
7. Google Sheets connections
If you choose “Connect with Google” on the Integrations page, you sign in with your Google account and allow VideoSaysHi to create and edit only the files it creates in your Google Drive. We also receive your Google account email address, to show which account is connected. We cannot see, open or change any other file in your Drive.
We use this access only to create one lead sheet for your workspace and add the leads from your funnels to it. Your Google sign-in token is encrypted before we store it and is never shown in the app. When you remove the connection, we ask Google to cancel our access; the sheet and the leads in it stay in your Drive. You can also remove our access at any time in your Google account’s security settings.
VideoSaysHi’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not use this data for advertising, do not sell it, and do not use it to train AI models.
10. International transfers
Our providers may process data in the United States, the European Union and other countries. When personal data from the EU, UK or Switzerland is transferred to a country without an adequacy decision, we rely on appropriate safeguards such as the European Commission’s Standard Contractual Clauses and the UK addendum, together with the security measures described below.
11. How long we keep data
- Account and workspace data: while your account is open. When a workspace has no active plan, its content (funnels, videos, files, leads, responses, bookings and integrations) is deleted 90 days after the plan ended, or 30 days for a workspace that never paid. We email the owners first. The login, team and billing records are kept until you ask us to delete the account.
- Viewer Data: each workspace chooses how long responses and leads are kept: 30, 90, 180 or 365 days, or until deleted. After that period, responses, uploaded files, bookings and alerts are deleted automatically, and visit records have their location, referrer, landing page and device details removed.
- Detailed viewing activity: the step-by-step record of a visit (steps viewed, video progress, cards shown and clicks) is deleted after 12 months. Responses, leads, answers and the summary of each visit are kept as described above.
- Unfinished uploads: deleted after 24 hours.
- Website cookies: your cookie choice is kept for 6 months; analytics and advertising cookies for up to 13 months (see Cookies, analytics and ads on our website).
- Partner referral details: the referring website and the coded network and browser value are removed after 90 days; the referral cookie expires after 30 days.
- Agency extra workspaces: deleted with all their data 30 days after the Agency plan ends.
- Deleted accounts: removed within 30 days of a confirmed deletion request.
- Billing records: kept for as long as tax and accounting laws require (usually up to 7 years).
- Security and abuse records: kept as long as needed to protect the Service and handle legal claims.
12. How we protect data
- Encrypted connections (HTTPS) everywhere, plus strict browser security headers.
- Database access rules on every table, so each workspace can only reach its own data.
- Private storage for videos and files, served only through short-lived, signed links.
- Rate limits and abuse checks on public endpoints; secrets for integrations stored where browsers cannot read them.
- Checks against breached passwords when accounts are created.
- Staff access to a customer workspace only for support or security, with a recorded reason and automatic expiry.
- Data stored with providers that encrypt it at rest.
13. Your rights and choices
Depending on where you live, you can ask us to:
- access the personal data we hold about you, or receive a copy in a portable format;
- correct inaccurate data (most account details can be changed in Settings);
- delete your data or account;
- restrict or object to certain uses, including those based on legitimate interests;
- withdraw consent where we rely on it;
- stop product tips and offers by email, in Settings → Signed-in account or with the unsubscribe link in any of these emails;
- switch off analytics and advertising cookies on our website, with Cookie settings at the bottom of every page.
Email support@videosayshi.com from the address on your account. We reply within 30 days, and may need to confirm your identity first. We will not treat you differently for using your rights. You can also complain to your local data protection authority.
California residents: we do not sell personal information, and we use sensitive personal information only to provide the Service. Our website’s advertising cookies may count as “sharing” for cross-context behavioural advertising under California law. To opt out, use Cookie settings or send a Global Privacy Control signal from your browser.
14. Children
VideoSaysHi is for adults and businesses and is not directed at children. Customers must not build funnels aimed at children or knowingly collect data from them. If you believe a child has given us personal data, email support@videosayshi.com and we will delete it.
15. Changes to this policy
We will update this policy when our practices change. For significant changes, we email account owners at least 30 days before they take effect. The date at the top shows when this version started.
